The Wabash Center for Teaching and Learning in Theology and Religion is funded by Lilly Endowment Inc., to enhance teaching of religious and theological studies in higher education in three program areas and through a re-granting program.  The Grants and Finance Administrator is a member of a staff that organizes and implements Wabash Center activities, including conferences, workshops, an academic journal, grant program, a website, teaching resources, and professional networks.  Specifically, the Grants and Finance Administrator develops and manages the financial and contractual policies, procedures, and practices that support the Wabash Center’s operation as well as the re-granting aspect of the programmatic work. The person routinely interacts with the College’s Business Office as well as the Corporate and Foundation Relations Officer in supporting the operation and grant program of the Wabash Center

Key responsibilities:

  • Manages budget and monthly bookkeeping for operations of the Wabash Center; reconciles purchase cards for staff members
  • Coordinates budgetary reporting for the core grant and all other grants which fund the operations of the Wabash Center
  • Develops and implements all contracts and reporting procedures for the administration of $500,000 to $1 million-plus in re-granting funds
  • Reads and analyzes grant proposals and reports
  • Maintains knowledge of open grants and institutions to whom the grants were awarded
  • Participates in the annual and on-going re-granting activity, including the selection process, responding to inquiries; auditing and processing grant proposals; communicating with faculty participants and institutional business offices; preparing contracts, auditing the reports received at the close of grants; and reporting on the re-granting program in the annual report of the Wabash Center
  • Prepares clear, accurate, and carefully edited reports about the Wabash Center’s regranting activity for the director, advisory committee and Lilly Endowment, Inc.
  • Assists with the preparation of the Center’s annual report
  • Maintains integrated database and physical files of grant reports, grant outcomes, and fruits of grants
  • Facilitates participant reimbursement requests and invoices for payment from vendors by submitting appropriate paperwork to the business office

Qualifications & Skills:

  • Minimum of BA/BS degree
  • Previous experience with finance administration and bookkeeping, office database skills
  • Previous experience with or willingness to learn grant management
  • Excellent organization skills suited for financial recording keeping and reporting
  • Ability to work collaboratively and as a team member with a diverse staff
  • Conscientious about details, precision, and accuracy
  • Strong proficiency in the use and operation of computer systems, especially FileMakerPro (database), Word and Excel
  • Willingness to occasionally travel and participate in weekend and evening work during off-site conferences
  • Ability to work in a mission-driven, professional and responsive manner with Center staff, guest participants, and the wider college colleagues
  • Willingness to work with challenging problems, master new technologies, and design new processes for more efficiency
  • Ability to work with confidential information, including correspondence concerning large sums of money
