AskWally and Datatel down March 11-14

Datatel, our campus enterprise information system, and Ask Wally, the web interface to Datatel, will be down for a system upgrade beginning 4:30pm on Wednesday March 10, through 8am Monday, March 15.

Even if you aren't a regular Datatel user, you may still be affected by this outage as some services across campus will be unavailable, including:


Purchase Orders and Check Printing
The Business Office will not be able to print checks or generate purchase orders during this work.  If you need a PO, or check printed, submit the request no later than 10am Wednesday, March 10 to ensure it is processed before the system work begins.

Student Time Entry via AskWally
We will be extending cut off times for students to enter their hours worked and for supervisor approvals on Ask Wally as follows:

  • Students will have until 10am on Tuesday, March 16 to enter their hours worked for the pay period ending Saturday, March 13.  We encourage students who are not working over break to submit their timesheet before leaving campus.
     
  • Supervisors will have until 3pm on Tuesday, March 16 to approve their student timesheets.

Student Transcripts, Class Rank, GPA, Enrollment and Graduation Verification
Students will be unable to access grades and unofficial transcripts through AskWally, and the Registrar's Office will not be able to print transcripts, or provide enrollment verification, graduation verification, class rank, or GPA during this outage.  If you need information from the Registrar's Office to apply for jobs, internships, graduate school, etc., please submit your request to the Registrar's Office no later than 4:30pm Tuesday, March 9.

Access to Pay Advices for Bi-Weekly Employees
The bi-weekly payroll will run on the normal schedule, and your pay check will still be deposited to your account on Thursday, March 11.  However, you will be able to view and print your pay advice (pay stub) through AskWally on Wednesday March 10, so that you can view your pay amount before AskWally is unavailable.


About This Upgrade...
Datatel, which we've used at Wabash since 1993, is the software system that manages Wabash's administrative data.  What we call "Datatel" is actually two distinct database systems: Benefactor, used by Advancement and Alumni Affairs, and Colleague, used by the Business Office, Admissions, and Student Services.  There are connections between the two systems, but much information is duplicated.  For example, an employee's address is stored separately in Colleague and Benefactor, and both systems must be updated when that information changes.

During this outage, we will upgrade Benefactor to a new product called Colleague Advancement, which will merge the Benefactor and Colleague databases.  As you might imagine, this is a complex undertaking, and IT Services and Advancement staff have been actively working on this migration for 18 months.  Colleague Advancement offers new features to the Advancement and Alumni Affairs offices, and the merged database will simplify work flow for many offices across campus.
