Email Upgrade Scheduled for June 25-27

On Friday, June 25, beginning at 4:30pm and continuing through Sunday evening, June 27, we will upgrade our core mail servers.  At this time, we will also upgrade the Outlook Webmail (new webmail) product.  Read on for important information about this upgrade.


Can I still get to my email during the upgrade?
Depending on how you access your email, there may be some period of time this weekend that you will be unable to access your email.  The table below summarizes what will happen for the various email clients in use on campus.
 

Microsoft Outlook (Windows), Entourage (MacOS) You will be able to access your email with Outlook and Entourage throughout the weekend.  At the point in time your mailbox is migrated to the new server, you will get a message that your mailbox has been upgraded, and Outlook/Entourage will prompt you to reconnect.
New webmail (Outlook Web Access) * You will be able to access email with the new webmail throughout the weekend.  At the point in time your mailbox is migrated to the new server, you will see the new version of the new webmail product (for information on the new version, see "What's different with the new webmail" below.
Smart phones using Exchange ActiveSync If you access your Wabash email through your cell phone, it will continue to work throughout the weekend if you are connected using Exchange ActiveSync.
Old webmail * The old webmail will be directed to connect to the new mail server at 4:30pm Friday, June 25.  You will be unable to access your email using the old Webmail product until the point in time that your mailbox has been migrated to the new server.  If you try to log into the old Webmail before your mailbox has been migrated, you will see an error message that indicates your mailbox does not exist on the server.
Thunderbird, Apple Mail Thunderbird, Apple Mail, and other desktop mail clients that connect using IMAP or POP will automatically redirect to the new mail server at 4:30pm Friday, June 25.  You will be unable to access your email using your desktop IMAP client until the point in time that your mailbox has been migrated to the new server.  Once your mailbox has been migrated, you will be prompted for your password and your folders will need to reindex.  Reindexing happens automatically, but may cause your mail to run slowly at first.  Also, please note if you attempt to access your email before your mailbox has been migrated, your folder list and messages may not be visible from your mail client.  This is normal; the folders and messages will reappear after the mailbox has been migrated.
Smart phones using IMAP As with other IMAP clients, you will be unable to access your email from 4:30pm Friday, June 25, until the point in time your mailbox has been migrated.
Eudora Eudora will stop working at 4:30pm Friday, June 25.  Eudora will not be supported after the server upgrade, though you can continue to use Eudora to access messages that are stored locally within Eudora.  If you are still using Eudora for email access, please contact the Help Desk to switch to Outlook or Entourage.

I need my email over the weekend. What can I do?
If the table above indicates you will not have access to your email this weekend from your regular email client, you can send and receive messages throughout the weekend using the new webmail program, available at:

    https://outlook.wabash.edu


What happens to messages people send me during the upgrade?
Incoming mail will be received and processed throughout the weekend.  There will be no disruption or delay in processing incoming email, whether on or off campus.


Which Webmail am I using?
Wabash IT Services currently maintains two webmail systems.  We call one "old webmail" and the other "new webmail", but that may not be a helpful description if you've not been at Wabash very long.  Here's how to tell which you are using.

Old webmail *
The old webmail product has been available for several years, and is accessible at http://webmail.wabash.edu.  You are using the old webmail if you click "Webmail" from the Wabash home page, or if you log in from the faculty/staff or current students page.  We are phasing out the old webmail product, and will turn it off on September 15, 2010.

New webmail *
The new webmail, Outlook Web Access, became available in March 2009, and is accessible at https://outlook.wabash.edu.  The old webmail login page has a link to the new webmail login page.  This is the product that will be upgraded this weekend.  It will still be accessible at https://outlook.wabash.edu.


What's different with the new webmail?
We're upgrading the "new" webmail from Outlook Web Access 2003 to Outlook Web App 2010.  Highlights of the new version include:

  • Multiple browser support: product is the same for all web browsers, including Internet Explorer, Firefox, and Safari, on both Windows and MacOS.
  • Single pane of messages: no matter how many message you have in a folder, they will all appear on the same scrollable page, so you can find any message without paging your mailbox.
  • Conversation view: by default, messages in a single conversation thread are grouped together, and can be read, moved, or deleted as a whole.
  • Message searching and filtering capabilities are greatly enhanced.
  • And one change some might find irritating: if you turn on the message preview pane, it can only go to the right of your message list; it is no longer possible to have a mail preview pane below your messages.

Please note that once your mailbox has moved to the new server, you will automatically get the newest version of Outlook webmail when you log in.
